Important Factors of Successful Projects

The success of a project is such common and expected matter that nobody actually gives it a second thought. The upper management appreciates project managers and the implementation teams and usually awards a bonus. However, no one in the project implementation teams or upper management tries to analyze the reasons behind the success of the project.

This is the main reason why every project starts as a gamble. There are equal chances of success and failure of the project. It is a natural that a project that involves a number of variables could have uncertain outcomes. However, by studying the factors behind the success of previous projects, it is easy to reduce the complexities of the project and increase the chances of success.

Every project requires careful planning. The planning stage is important for several reasons. It allows time to carefully analyze the available resources and their usefulness in the course of the project. Many managers discover that the resources at hand are usually not adequate to get the project to final stages. This is why, planning is the right stage for amassing resources and coordinating their availability throughout the project.

Planning is also the right time to review the project objectives. In the event of unrealistic or impractical objectives, it is important that the managers should clarify and inform higher management. It is important that any confusion about the outcome should be resolved before the teams start working on the project.

A very important reason of the success of the project is the fact that the management has realistic timelines for the project. If experts have to select one factor for the success of any project, this would be it. Determining suitable timeline is an art that requires experience and expertise in the particular industry. Only than could a manger could successfully able to determine the time required for a particular stage. An additional factor that influences this decision is ratio of resources consumed per unit of time. This important ratio is often overlooked, resulting severe lack of resources and/or time in later stages of the project.

Almost every manager stresses the need for clear communication and east to access communication lines. However, few are able to establish and enforce the idea in a project. The problem is easy to analyze because it is often the first problem encountered by the project implementation team. Everyone including the project managers need to able to communicate to the concerned person immediately. Many people are mired down in the practical details of setting up communication and miss out the point. Communication technology is important but not as important as setting up contact persons and communication schedules.

Finally, the final factor of successful projects is a continuous emphasis on adhering to schedules and deadlines. This is one of the best ways of keeping costs down and ensuring that the implementation proceeds as per the plan approved by the senior management.  This strategy ensures that the project remain favorable in the eyes of all involved.
